SUNY Cross Registration and Financial Aid Consortium

PROCESS FOR SUNY POLY “HOME” STUDENTS

Cross Registration is intended to facilitate a student’s timely degree completion. If a course is not required to remain on sequence for your primary major, General Education, or Liberal Arts requirements, it is not eligible for cross registration. The Financial Aid Consortium no longer exists as a standalone consortium; it is part of the Cross Registration process.

  1. Follow the academic approval process:
    a. Complete the “Petition to Take Courses at Another College” form, which is available in the Registrar’s Office or on our web page (www.sunypoly.edu/student-life/student-resources/registrar/forms).
    b. Obtain permission from your Academic Unit/Academic Advisor to transfer the course.
    c. Forward the signed petition form with course description(s) to the Registrar’s Office for review.
  2. Once the SUNY Poly Registrar’s Office has signed the petition to transfer the course(s), the student must fill out the online cross registration form (suny.edu/crossregister)
    a. All portions of the online cross registration form must be completed/approved by the student and by both campuses prior to registering for the class.
  3. Registration and Billing:
     
    Students who ARE registered for other courses at SUNY Poly for the requested term: Students who ARE NOT registered for other courses at SUNY Poly for the requested term:

    Once approved, student will be registered for a placeholder class at SUNY Poly. This will generate a bill at the Home campus for the appropriate tuition and fees.

    The student is responsible for all course-level fees imposed by the Host campus

    The student is responsible for any optional/voluntary fees incurred at the Host campus (including parking).

    The Host campus will bill SUNY Poly for the appropriate tuition and fees.

    Financial Aid will be processed as appropriate/approved – as long as the student has checked the appropriate box on the cross registration form.

    Once approved, the student will register at the Host campus. They will not be registered at the Home campus for a placeholder course.

    The Host campus will bill the student directly.

    Financial Aid will be processed as appropriate/approved – as long as the student has checked the appropriate box on the cross registration form.

  4. After the end of the term, the Host campus will send a transcript to the Home campus. You will see the course in your Degree Works audit.

Approval to transfer a course does not automatically guarantee a corresponding approval to cross register.

Some reasons for denials of cross registration may include:

  • The requested course is offered at the Home campus and student is requesting to take it at another campus for convenience.
  • The requested course is not strictly required for the student’s timely degree completion, or an alternate course may be taken at Home.
  • The student is requesting to take the course in order to speed up degree completion, but s/he will be on track to complete on time even if the request is not approved.
  • The course is for a second major or minor.
  • The request was submitted after the start of the term.
  • The student registered for the course before cross registration was approved.
  • Transferring the course will result in the student not meeting the overall residency requirement at SUNY Poly.
  • Transferring the course will result in the student not meeting a residency requirement in the major.
  • Transferring the course will exceed established transfer maximums for your degree or program.
  • Note that Study Abroad/International Program experiences are specifically excluded from Cross Registration.
  • SUNY Poly does not participate in Cross Registration for winter or mini-semesters.

Courses taken through cross registration will be treated as transfer courses.

If you are repeating a course you have already taken at SUNY Poly:

  • If you have failed a course at SUNY Poly and wish to retake it as a cross registered course, the transfer course will not replace the “F” grade in your GPA at SUNY Poly.
  • If you took a course at SUNY Poly and received a passing grade (and earned credits) but did not receive the minimum grade required and you wish to retake it as a cross registered course, it will be transferred for ZERO credits, because credit was already awarded from SUNY Poly. The transfer course will not replace the deficient grade in your GPA at SUNY Poly.

PROCESS FOR SUNY POLY “HOST” STUDENTS

Student must:

  1. Submit the non-degree application form (with an unofficial transcript, if the course has prerequisites). The form is available online: www.sunypoly.edu/non-degree
  2. Obtain academic permission from your Home campus.
  3. Fill out the online cross registration form suny.edu/crossregister.
  4. Once approved by the Home and Host campuses, you will be registered for the course at SUNY Poly.
    If you ARE registered at your Home campus for the requested term: If you ARE NOT registered at your Home campus for the requested term:

    Your Home campus will probably register you for a placeholder course, but this is determined at the Home campus.

    You will be registered at SUNY Poly for the requested course.

    The student is responsible for course-level fees imposed by SUNY Poly

    The student is responsible for any optional/voluntary fees incurred at SUNY Poly

    SUNY Poly will bill the Home campus for the appropriate tuition and fees.

    The student’s Home campus will process financial aid as appropriate/approved.

    Once approved, the student will register at SUNY Poly for the requested course.

    SUNY Poly will bill the student directly for all appropriate tuition and fees.

    The student’s Home campus will process financial aid as appropriate/approved. 

  5. SUNY Poly will send your Home campus a transcript at the end of the term.
